Tool Summary

The Saturday Wash Queue is a web-app for allowing Out of Office Garage members to book a Saturday Car Wash at the Cole Street Garage based on the available times in the wash queue.

  • At 9AM EST on Saturday the staff turns on the Wash Queue by logging into the Out of Office Garage Portal → selecting the "Saturday Wash Tool" from the menu → and selecting "Open Queue".
  • Once the queue has been turned on, members will be able to see the 15 available wash slots and the current status of washes by navigating to: View Saturday Wash Availability. Members will see "Queue Not Yet Open" if the staff has not turned on the queue.
  • To book a slot, a member must be at the Garage and scan the QR code. If a member cannot book with their phone, staff can manually book them a slot in the Staff view. "Share my location" must be enabled — the web-app has a 200 meter geo-location restriction. Members provide their Name, Phone Number, Vehicle, and optional notes.
  • Once a member books a slot, they receive a confirmation text with a link to manage their reservation — they can switch slots, cancel, or send a message to staff.
  • On the staff side, a message is sent to the Saturday-Wash Slack channel when a member books. Staff then click on that slot and update its status: "up next", "wash started", or "wash done" — the member is notified at each stage.
  • At the end of the day, staff clicks "Close Queue" then "Reset Queue for Next Saturday" — this sends completed jobs to the Saturday Wash Monday board and saves records to the database.
  • Once closed, members see "Queue not yet open" again, and the process restarts the next weekend.

Starting the Queue

  • You will be asked to provide a PIN number. The PIN is: 2200

  • After inputting the PIN you will land on the Queue page. Before selecting "Open Queue", use the "Est. Wait/car" dropdown to select or input a custom time per car.

  • After setting the estimated time per car, click "Open Queue". Members will now be able to see the current queue and book a slot.
  • When the queue is closed, members see "Queue not yet open" when scanning the QR code or visiting the Saturday Wash tool.
  • When the queue is open, they see the full table of available slots for the day.

How Members Book a Slot

Members can only book a slot by scanning the QR code at the Garage. If they are having technical issues, you as an employee can manually book them a slot — that process is covered in the next section.

  • Members can check the current queue status (how many spaces are still available) at: outofofficegarage.com/members-only/saturday-car-wash. Note: they can only see available slots when the queue has been opened — otherwise they see "Queue is not yet open".
  • Members cannot reserve a slot from the status page — they can only view current slot status there.
  • To book, a member must be at the garage and scan the QR code. Make sure the QR code sign is placed on the main counter, next to the bowl where you collect keys.
  • The QR code will ask them to share their location. The app has a 200 meter geo-location restriction from Out of Office Garage. If it won't allow them to book but they are physically in the garage, see the next section on manual booking.

  • Members see a list of available slots. When they click a slot it asks for their information: Name, Vehicle, Mobile Number, and any notes for the staff.

  • When a member clicks "Book this slot" they receive a confirmation text with a link to manage their reservation — they can cancel, swap to another available slot, or send a message to the team.
  • The OOOG team is notified of every booking via the Saturday-Wash Slack channel — which also updates each time a status changes.

  • The member sees a "You're Booked" confirmation message in the tool and receives the automatic text from OOOG with a link to their reservation.

Manually Book a Slot

If a member is at the garage but unable to make a booking themselves, staff can book a slot for them manually.

Manage the Booking: Staff View

To keep the member updated on the status of the wash and to keep the status board updated, follow these steps:

  • To notify a member their car is "up-next", go to the Staff wash view: outofofficegarage.com/operations/saturday-wash-staff
  • Click on the slot you want to update in the list.
  • Select "Mark Up Next" — this informs the member that their vehicle will soon be washed. They receive a text message letting them know they're up next.

  • When the car is ready to be washed, click on the entry again and select "Start Wash".

  • When the wash is done, select the entry again and select "Mark Done" — this informs the member their vehicle is complete and their keys are in the bowl.

Close the Queue / Reset for the Week

Once the wash day has wrapped up, close the queue and reset it for the next week.

  • From the Admin view, select "Reset Queue for Next Saturday".

  • A confirmation message will appear — select "Confirm".
  • The queue is now reset. Members no longer see the queue, and completed washes are saved to the database and to the Saturday Wash Monday board for record keeping.
